{"id":1536,"date":"2012-01-18T17:36:12","date_gmt":"2012-01-18T17:36:12","guid":{"rendered":"http:\/\/www.obieta.com\/?p=1536"},"modified":"2012-01-18T17:36:12","modified_gmt":"2012-01-18T17:36:12","slug":"1536","status":"publish","type":"post","link":"http:\/\/obieta.com\/?p=1536","title":{"rendered":"SharePoint 2010 Document Co-Authoring with Microsoft Word"},"content":{"rendered":"<p>we\u2019ll say \u201cso long\u201d to the days where documents lived in a  sluggish  circular workflow of composition, printing and emailing, reviews,   edits, editing approvals and publishing.\u00a0  Recently, the Microsoft  Office team has been narrowly focusing on making  their products adhere  to the cloud-based collaboration capabilities of the  future.<\/p>\n<p>In the case of document life-cycles for Word 2010, their  solution  incorporates an amazing new feature \u2013 the ability for multiple   information workers to simultaneously edit and collaborate on a Word   document.\u00a0 This process is known as <em>co-authoring<\/em> and happens in real-time with  the seamless <a href=\"http:\/\/www.fpweb.net\/sharepoint-hosting\/2010\/features\/virtual-office.asp\">integration  of Microsoft Office 2010 and SharePoint 2010<\/a>.<\/p>\n<p>I\u2019ll give you a second to catch your breath.\u00a0 That\u2019s right, one document with multiple <em>simultaneous<\/em> authors and <em>real-time<\/em> editing and  collaboration.\u00a0 No check-out\/check-in  required <em>(although it\u2019s still available)<\/em> and it comes with countless time-saving and productivity boosting implications  for all kinds of business operations.<\/p>\n<p><strong>Sounds great, right?\u00a0 Let\u2019s go over the prerequisites and how it  works.<\/strong><\/p>\n<p>&nbsp;<\/p>\n<h3>What do I need to try out this functionality?<\/h3>\n<ul>\n<li>A <a href=\"http:\/\/www.fpweb.net\/sharepoint-hosting\/2010\/foundation\/\">SharePoint Foundation  2010<\/a> or <a href=\"http:\/\/www.fpweb.net\/sharepoint-hosting\/2010\/server\/\">SharePoint  Server 2010<\/a> site<\/li>\n<li>A document library on that site <em>(versioning-enabled optional)<\/em><\/li>\n<li>Two or more users with contribute permissions on  that document library<\/li>\n<li>Two or more users with Office 2010 installed on  their client machine<\/li>\n<\/ul>\n<h4>Ok. Now, let\u2019s try it.<\/h4>\n<ol>\n<li>Open up Microsoft Word 2010 and create a basic  document with some text.<\/li>\n<li>Save this document and upload it to your <a href=\"http:\/\/www.fpweb.net\/sharepoint-hosting\/2010\/\">hosted SharePoint 2010<\/a> document library.<\/li>\n<li>Have 2 or more users browse to this library and  click on the document.<\/li>\n<li>Select <em>\u201cEdit\u201d<\/em> when this gray dialog pops up, then click OK. <br \/> <img loading=\"lazy\" src=\"http:\/\/blog.fpweb.net\/images\/_screenshots\/sharepoint-2010-coauth\/sharepoint-2010-coauth_1.png\" border=\"0\" alt=\"Co-authoring with Word 2010 and SharePoint 2010 - step 1\" width=\"394\" height=\"263\" \/> <\/li>\n<li>Enter your SharePoint 2010 credentials (check  the <em>\u201cremember my password\u201d<\/em> checkbox).<\/li>\n<li>Type away.<\/li>\n<\/ol>\n<h4>What am I looking at in Microsoft Word 2010?<\/h4>\n<ol>\n<li>At the bottom left, you should see the users who  currently have the  document open in Word 2010\u2019s edit mode.\u00a0 Click on this icon to see the  user-names. <br \/><img loading=\"lazy\" src=\"http:\/\/blog.fpweb.net\/images\/_screenshots\/sharepoint-2010-coauth\/sharepoint-2010-coauth_2.png\" border=\"0\" alt=\"Co-authoring with Word 2010 and SharePoint 2010 - step 2\" width=\"41\" height=\"32\" \/><\/li>\n<li>Have <strong>user  A<\/strong> type in some text and click the Save button.<\/li>\n<li>Now, <strong>user  B<\/strong> will be alerted that updates are available. <br \/><img loading=\"lazy\" src=\"http:\/\/blog.fpweb.net\/images\/_screenshots\/sharepoint-2010-coauth\/sharepoint-2010-coauth_3.png\" border=\"0\" alt=\"Co-authoring with Word 2010 and SharePoint 2010 - step 3\" width=\"404\" height=\"172\" \/><\/li>\n<li>When user B types in some text and clicks save,  he will see both  content changes with a highlighted paragraph of what was just   imported.\u00a0\u00a0 After he saves the document  again, the highlighting goes  away. <br \/><img loading=\"lazy\" src=\"http:\/\/blog.fpweb.net\/images\/_screenshots\/sharepoint-2010-coauth\/sharepoint-2010-coauth_4.png\" border=\"0\" alt=\"Co-authoring with Word 2010 and SharePoint 2010 - step 4\" width=\"624\" height=\"437\" \/><\/li>\n<li>You can also click on an author\u2019s name at the  bottom left and begin  a collaboration effort from within Word 2010!
